About You


You’re a seasoned financial professional with experience overseeing finance and accounting at a digital advertising agency. You understand bookings, backlog, revenue recognition, GAAP accounting, and reconciling paid media. You're fluent in ERP systems, business processes, and organizational change. A strong communicator and strategic thinker, you can analyze the past and anticipate the future to guide growth. You build alignment across teams to drive results.



Overview


This role partners closely with the President and department leads to ensure financial clarity, operational efficiency, and strong margin performance across the agency. This is a hands-on, roll-up-your-sleeves role ideal for someone who thrives in entrepreneurial, fast-moving environments and enjoys both day-to-day accounting and strategic financial oversight.



Essential Functions:


Reporting & Analysis

  • Own the monthly close process: revenue recognition, accruals, reconciliations, and journal entries.

  • Prepare and present monthly, quarterly, and annual financial statements (P&L, Balance Sheet, Cash Flow).

  • Maintain a clean, audit-ready general ledger.

  • Oversee A/R, A/P, credit card reconciliations, payroll, benefits, corporate insurance, and bank reconciliations.

  • Manage fixed assets, depreciation, prepaid schedules, and balance sheet account reconciliations.

  • Ensure compliance with GAAP and agency accounting best practices.

  • Partner with leadership to communicate findings, recommend actions, and ensure KPIs are met.

  • Work with a 3rd party CPA firm on taxes and related questions.


Revenue Forecasting & Margin Tracking

  • Oversee project-level financials: WIP, SOW tracking, budget vs. actuals, and project reconciliations.

  • Collaborate with Account and Project Management on revenue forecasting, staffing, billing, and profitability.

  • Manage revenue recognition for retainers, T&M, fixed-fee projects, production, and media pass-throughs.

  • Ensure accurate media pass-through accounting, cash flow, and timely client billing.

  • Provide financial guidance on new client pricing and margin expectations.


Budgeting, Planning & Scenario Forecasting

  • Lead annual budgets and rolling forecasts (revenue, staffing, overhead, contribution margin).

  • Develop agency-wide and departmental budgets with leadership.

  • Monitor performance vs. budget and provide actionable insights.

  • Build financial models for hiring decisions, compensation adjustments, and client profitability.


Cash Flow Management

  • Manage cash flow forecasting and daily/weekly cash position reporting.

  • Oversee collections and maintain strong cash conversion cycles.

  • Recommend strategies to optimize working capital (billing, expenses, vendor terms).


Financial & HR Administration

  • Create and implement financial policies, internal controls, and scalable accounting processes.

  • Streamline workflows around timesheets (Accelo), expense reports (Expensify), card management (Amex), vendor onboarding, and purchasing.

  • Manage payroll (ADP) with HR (PTO payouts, bonus calculations, state tax registrations).

  • Monitor benefit costs and compensation structures.

  • Support compliance across multi-state employee footprint.


Strategic Support for Agency Leadership

  • Provide insights on gross margin, contribution margin, revenue per head, and utilization.

  • Support leadership with dashboards, shareholder reporting, and KPI trends.

  • Evaluate financial impact of new business opportunities, pricing models, and staffing plans.



Qualifications:


  • Bachelor’s degree in Accounting, Finance, or related field; CPA or MBA preferred.

  • 8+ years progressive accounting/finance experience in advertising, marketing, creative, or professional services; media experience a plus.

  • Strong understanding of agency revenue recognition (retainers, T&M, project-based, production, media).

  • Hands-on experience with GAAP accounting, month-end close, and forecasting.

  • Proficiency with agency finance tools: QuickBooks Online (advanced a plus with job costing and forecasting module experience), Accelo Project Management or similar, Expensify, Microsoft Excel, G-Suite and Google Sheets/Docs, ADP, and Fidelity PSW/Net Benefits, etc.).

  • Clear communicator with strong collaboration skills and attention to detail.

  • Ability to prioritize under deadlines in a remote, lean environment.
